Job Description

An Administrative Specialist works under the general supervision of a supervisor, communicates policies or procedures to related departments and has input into planning and policy development. Work requires considerable analytical skill and the ability to plan and coordinate tasks to completion, update reports.

Working on daily administrative assistance, focusing on expats/foreign guests coming to Vietnam factories, as well as supporting with training, outing trips, and other beneficials for employees at the factories:

  • Assisting foreign visitors/ direct labors. Provide general support to visitors.
  • Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations.
  • Maintaining a clean and enjoyable working environment.
  • Coordinating office activities and operations to secure efficiency and compliance to company policies.
  • Supervising & improving performance of outsource services such as transportation, cleaning service, Expat…
  • Managing office equipment and supplies, and ordering new equipment and supplies as needed
  • Working with suppliers, carriers, internal customers (employees, and expat) to ensure smooth transportation operations for timely and accurate deliveries, address.
  • Solve any issues or complaints regarding to internal transportation: Shuttle bus & car rental.
  • Coordinating with Accountant team to make the monthly payment on time and allocate right code.  

Job Requirement

  • Working place: Tan Phu Trung Industrial Zone, Cu Chi District, HCMC. We provides shuttle bus from HCMC, Binh Duong & Dong Nai
  • College and above. Major in Business Administration, English, Chinese or other related subjects.  
  • 3 years of experience in project management, general administration in multinational companies 
  • Be able to comfortably use both English and Chinese (English: Fluently; Chinese: Verbal communication + Reading)
  • Proficiency in MS Office (MS Excel, MS Word and MS PowerPoint, Outlook) 
  • Excellent time management skill, have ability to prioritize work
  • Strong organizational skills especially multi-tasking
  • Attention to details and problem-solving skills Helpful and friendly demeanor
  • Ability to stay calm under pressure
