Job Description

An Administrative Specialist works under the general supervision of a supervisor, communicates policies or procedures to related departments and has input into planning and policy development. Work requires considerable analytical skill and the ability to plan and coordinate tasks to completion, update reports.

  • Assist foreign visitors/ direct labors.
  • Provide general support to visitors.
  • Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations.
  • Maintaining a clean and enjoyable working environment.
  • Coordinating office activities and operations to secure efficiency and compliance to company policies.
  • Supervising & improving performance of outsource services such as security, cleaning service, car rental…
  • Manage office equipment and supplies, and ordering new equipment and supplies as needed.
  • Work collaboratively with other departments to help solve clerical issues.
  • Represent Admin department in meetings, including taking notes, updating report, follow-up issues/ check-list.
  • Plan to-do tasks and update progress for each new project, such as a moving factory project, a process improvement project, an e-factory project,...
  • Coordinate with Accountant team to make the monthly payment on time and allocate right code.
  • Produce and distribute correspondence memos, letters and forms
  • Update procedure, work instruction
  • Arranging internal events
  • Ad-hoc jobs required by Dept. Head 

Job Requirement

  • Working place: Tan Phu Trung Industrial Zone, Cu Chi District, HCMC. We provides shuttle bus from HCMC, Binh Duong & Dong Nai
  • Bachelor of Business Administration/ Economic/ Information Technology
  • 3 years of experience in project management, general administration in multinational companies
  • Well knowledge to practice the applications of Microsoft, technology into the daily job.
  • Well knowledge of report presentation and updating.
  • Use English fluently.
  • Ability to calculate quickly, sensitive to numbers.
  • Ability to analyze data.
  • Time management well.
  • Good communication skill with both local people and expats.
  • Have good reporting and presentation skills
  • Withstand work pressure.
  • Good teamwork
